The Categorization Agent runs inside Meridian’s broader close system and categorizes transactions within the full context of each client, producing review-ready books for accounting firms.

From the outside, categorization can sound like a narrow vendor mapping problem: Uber maps to Ground Transportation & Parking, and the tool moves on to the next transaction. Accountants know it is rarely that simple. A cash-out transaction might be a directly expensed vendor payment, a bill payment, or a prepayment that belongs in a supporting schedule and gets recognized over a period of time. It might need to clear an accrual or another liability. It could be money in transit, an owner distribution, or intercompany activity that needs to land on the balance sheet and later eliminated in a consolidation. These scenarios all require different treatments, and getting them right takes much more than a vendor mapping.

How the Categorization Agent works

The Categorization Agent auto-categorizes bank and credit card activity, along with uncategorized activity synced from other source-of-truth systems, like contractor payment liabilities from a payroll system or bills from an AP system. It applies firm-level guidance, client-specific preferences, and vendor mappings within the context of a client’s books and business model, and it draws on nearly 10 years of categorization intelligence accumulated across 200,000 closes in all major industries.

For recurring vendors, the Categorization Agent maintains and applies the vendor mappings kept natively in Meridian, where firms can review and update them. For new vendors, it considers the transaction in the context of the client’s business model, entity type, chart of accounts, surrounding transactions, and client and firm categorization preferences before deciding where the transaction belongs. The Categorization Agent flags ambiguous activity for human review, with a customizable materiality threshold.

Some transactions should not simply hit the P&L, and the Categorization Agent routes them into the appropriate accounting workflow. It books an annual prepayment to the right prepaid account and registers it in the supporting schedules that Meridian maintains and rolls forward as part of the close. It categorizes an asset to the appropriate fixed asset account and registers it in the schedules so Meridian depreciates it. When a cash payment lands against an existing accrual, the Categorization Agent clears the liability instead of duplicating the expense, and Meridian tick-and-ties that liability or clearing account, making the account history and uncleared transactions easy to review.

Categorization done this way is one step in a larger job: turning input data into accurate accrual-basis books.
